A complete charter bus quote should itemize every cost line. Standard line items include:
Driver time and wage. Every quote includes the driver's time and wage. Most single-day charters are quoted per-hour with minimums (5-6 hours is typical). Multi-day assignments are quoted per-day. Fuel. Fuel is a major variable cost for charter bus operations. Local round-trip mileage is typically included in the day's base rate. Long-distance mileage adds a per-mile surcharge for distance above the daily minimum.
Tolls. Tolls are a real cost on routes through major urban corridors -- Detroit-to-Chicago runs toll bridges and roads throughout. Holiday Coach includes tolls in our all-inclusive quotes. Some carriers itemize tolls separately as extras on the invoice.
Parking. Parking at venue destinations is paid either by the carrier (and included in the quote) or by the group organizer directly at the venue. Holiday Coach quotes include parking for events we know require it.
Standard insurance. All carriers carry commercial general liability insurance. Holiday Coach carries $5 million+ in coverage, well above FMCSA minimums. Insurance is included in our quote.
Gratuity -- NOT automatically included.** Some carriers add automatic gratuity (15-20%) to the final invoice. Holiday Coach does NOT automatically add gratuity. Gratuity is at the discretion of the group organizer and is typically paid directly to the driver at the end of the trip.
Taxes. Most states do not tax passenger transportation services. Holiday Coach quotes are tax-free except where state law requires sales tax collection.
Overnight driver lodging. Multi-day charters away from the carrier's home base require driver lodging at each overnight stop. Holiday Coach includes driver lodging in multi-day quotes -- it should be an explicit line item that's part of your all-inclusive quote, not an extra.
Driver per-diem. Multi-day assignments include driver per-diem for meals and incidentals at standard federal travel rate. Holiday Coach includes driver per-diem in multi-day quotes.
Relief driver logistics. Multi-day itineraries that exceed single-driver hours-of-service limits require relief-driver staging. Holiday Coach builds this cost in transparently.

Charter bus quote models vary by carrier and trip type:
Per hour with minimums. Single-day charters most commonly quote per hour with a 5-6 hour minimum. Hourly rate includes driver wage, fuel for local mileage, tolls, and standard insurance.

What to Verify Before Signing a Quote

- All-inclusive vs itemized. Confirm whether the quote is all-inclusive or itemized. Some carriers quote a low base rate then add extras -- tolls, parking, gratuity -- on the final invoice.
- Driver gratuity. Confirm whether gratuity is included or billed separately. Holiday Coach never automatically adds gratuity.
- Mileage caps. Confirm whether long-distance mileage exceeds the included daily minimum and adds per-mile surcharge.

- Cancellation policy. Confirm cancellation terms. Most carriers quote non-refundable deposits due at signing.
